Legal Practice Management Software for Nepal

Cases are half of a practice. The other half — the enquiries that have not become matters, the fees nobody has chased, the people who can see what, and what the firm can prove it did — lives in the same workspace.

  • Enquiry pipeline
  • Fees and outstanding
  • Roles and audit trail
  • Firm analytics

Practice management is the part around the cases

The two terms overlap enough that vendors use them interchangeably, but the distinction is real and it decides what you should be shopping for. Case management is the matter-tracking core: parties, court, dates, documents. Practice management is everything the firm needs around that core — where work comes from, what it earns, who is allowed to do it, and what the firm can show afterwards.

WakilFlow does both in one workspace, which is why the case detail on this page is thin: it is covered properly on the case management page. What follows is the rest of the practice.

If matters and hearings are the problem you are actually solving, start with legal case management for Nepali lawyers.

Enquiries, before they are matters

A phone call that might become a case is not a client and should not consume a seat in your system or clutter your member list. Enquiries are their own records, with contact details stored inline, and they move through a pipeline: new, contacted, consultation booked, won, lost.

When you take the matter, converting the enquiry creates the case and copies the contact block across in one atomic action. Won is reachable only through that conversion — ordinary editing cannot move an enquiry into a closed state, so the pipeline numbers mean something.

  • Source recorded: referral, walk-in, phone, website, social, other — so you can see which channel actually pays
  • Expected fee value and matter type on every enquiry, with a lost reason captured when one goes
  • Assignment to a team member, plus search and filters by status, source and assignee
  • Pipeline statistics: counts by stage, win rate, and the value of what is still open

Fees, and what is still outstanding

A fee agreement sits on the case with the agreed amount and currency. Payments are recorded against it with the date, the method, a reference number, the person who recorded it and a status of received, pending or refunded — so the answer to "has this client paid" is a screen rather than a phone call to the clerk.

Two honest limits. Nothing here collects money: eSewa, Khalti, Connect IPS, cheque, bank transfer and cash are methods you log, not gateways. And there is no GST or VAT invoicing. What you get is a ledger of your own client fees, a receipt you can email a client on request, and totals you can export.

  • Fee agreement per matter, in NPR
  • Payment records with method, reference, date and status
  • Emailed receipt to a client, on request, from the payment row
  • Fee totals and outstanding balances, with CSV export on the paid plans

The people in your practice

Roles are rows your firm owns, not a fixed list we chose. Each carries a case scope and individual capabilities, so you can express shapes a fixed enum cannot — an accountant with fees and analytics but no case access at all being the obvious one.

Because a firm can put any capability onto any role it creates, the roles screen is genuinely worth reading once. What it grants is shown beside each role when you assign it.

  • Templates to start from — Partner, Senior Lawyer, Paralegal, Secretary, Accountant
  • Invite by email, link, SMS or printable QR code; invites expire in seven days and can be revoked
  • Issue or regenerate a member’s credentials, which forces a password change on their next sign-in
  • Deactivate and reactivate a member without deleting their history
  • A role change ends that person’s sessions immediately, not at their next login

What the firm can prove it did

Seventeen kinds of action are recorded: creates, updates, deletes and restores, logins and failed logins, onboarding, deactivation, uploads, downloads, appeals filed, and the platform-level plan and trial changes. Each row carries the actor, the organisation, the record it touched, a description, the IP address and the user agent.

Firm administrators browse their own organisation’s log with filters by action, record type and person. Client IP is only taken from a proxy header when the request came from a trusted proxy, so an audit IP cannot be forged by a client sending its own header.

  • Audit browsing is a capability a firm grants, and is included on the higher plans
  • Delete and restore are separate actions, so a reversal is visible as a reversal
  • Two-factor authentication with TOTP, recovery codes, and a password plus a code required to switch it off

Numbers about your own practice

Firm analytics reports on cases by status, workload across the team, hearing volume and fee totals, from the same scoped data the rest of the product reads — so trashed records are out of the numbers rather than quietly inflating them.

Cases and enquiries export to CSV using the same filters as the list you are looking at, which is how most firms get a board paper out of it.

Mistakes you can undo

Six kinds of record — cases, hearings, documents, diary entries, tasks and enquiries — move to a trash on delete and can be restored for thirty days. While a record is there it stops emailing and pushing about itself, leaves the dashboard and the analytics, and frees its slot against your plan limits.

For a small practice with no operator to restore a backup, this is the difference between a bad afternoon and a lost matter.

On the phone, at the court

The Android app carries cases, hearings, the diary and the calendar against the same workspace, works from a local cache when the signal does not, and queues writes made offline to replay when it returns. Push notifications are scoped to the workspace you are in, so a matter from one firm cannot surface while you are working in another.

There is no App Store release yet; on an iPhone the web app works in the browser.

Frequently asked questions

What is the difference between practice management and case management?
Case management is the matter itself — parties, court, dates, documents. Practice management adds the firm around it: where work comes from, what it earns, who may do it, and what can be evidenced afterwards. WakilFlow covers both in one workspace, on the same plan.
Can we collect fees through it?
No. Payments are a ledger of what your clients agreed and paid, and the digital wallets appear as methods you can record. Nothing in the product moves money, so collection stays however you do it today.
Can our accountant see fees without seeing case files?
Yes, and this is the case a fixed role list cannot express. Create a role with no case access and the fee and analytics capabilities switched on. It resolves on every request, so it works the moment you save it.
Do we get an audit trail on every plan?
Writes are recorded regardless. Browsing the log inside the product is included on the higher plans and is gated on a capability your firm grants, so you decide who reads it.
Is a consultant who works for two firms a problem?
No. One login can hold membership in more than one workspace and switches between them, holding the role each firm gave them separately. Notifications and the mobile cache are stamped with the workspace, so one firm’s matters cannot appear while you are in the other.
